Exclusive Caterer for the UO
Food and beverages served or catered on property owned or leased by the University of Oregon must be provided by University Catering. University Catering is the authorized caterer for events scheduled in university campus facilities. University Catering is authorized to establish additional procedures regarding operational details such as delivery, bookings, cancellations, set-up, and disposition of unused food. Individuals or organizations desiring to have food or beverages catered to approved campus locations by other food providers must receive prior written approval through the waiver request form.
All off-campus caterers must operate in compliance with local health department regulations. They must be able to provide proof of a valid business license for the specific operation and a certificate of liability insurance. These licensed caterers must deliver and set up the food for your campus event, unless prior approval has been granted for you to pick it up instead.
Service of alcoholic beverages at public events scheduled in university facilities must comply with UO Alcohol Service Standards and Guidelines. Copies of the guidelines are available in the Office of Risk Management. A request for permission to serve alcohol form must be completed and approved prior to any event.
Menu Orders
Please order seven days in advance. To request an order within seven days, please call 541-346-4303 to check availability.
Event Booking
Events are booked on a time available basis. We recommend that you reserve as early as possible. University Catering strives to accommodate all requests.
Event Times
Your event start time is the time we guarantee to have your event set up and ready for guests. University Catering requires a one-hour access time prior to the start time of every event and a one-hour tear-down time after the end time of each event. These times are estimated; actual access and tear-down times may differ depending on event details.
Delivery Charge
A $25 delivery charge is applied to all on-campus orders. Off-campus orders within five miles of campus incur a $50 delivery charge. Off-campus orders beyond beyond five miles from campus incur a $50 delivery charge plus an additional $3 per mile of total trip miles.
Final Guest Count
Your final guest count is due ten business days prior to your event. After this date at 4:00 p.m. decreases in headcount are no longer permitted. Increases to headcount and other changes requested after this deadline—when possible to accommodate—will incur a fee of $20 per change.
Deposit
A 50 percent deposit is due at time of booking for all non-university related events. The remaining balance is due ten business days prior to the event date. Deposits are accepted via check, cash, Visa, or MasterCard.
Late Booking Fee
There is a late booking fee of $50 for any event booking made within ten business days of the event.
Late Change Fee
There is late change fee of $20 for any changes made to an order within ten business days of the event.
Non-UO Fee
All events booked by private (non-UO) entities will be subject to a 10% surcharge on all event related fees. This fee will be reflected in the event total and is non-negotiable.
Pricing
All prices are subject to change to reflect market price changes. Your sales contact will work with you through any changes to make sure your budget and event details are honored though the process. For plated meals with more than one entrée, all entrees will be priced at the highest priced entrée price.
Cancellation
Any event cancelled within five full business days prior to the event will be charged in full.
Bars And Alcohol Service
- All bars will close 30 minutes prior to the scheduled end time of the event.
- Catering management and bartenders have the right to close a bar at any time.
- Substantial food service must accompany bar service at all events.
- All corkage fee beer and wine must be delivered to the catering office the day before your event. Leftovers will be available for pick-up the next business day after the event.
Servers
Servers are available for your event and add a special touch for your guests. Depending on the size and type of your event, servers may be required.
Late Pickup
Events ending after 8:00 p.m. will incur a $25 late pickup fee, excluding events with servers in attendance.
University Catering Waiver Form
Submit the University Catering waiver form at least 15 working days prior to the event date.
